In the current world, the agility to information exchange it is a predominant factor for a good communication between people and institutions. The use of born digital documents in the process of institutions allows that previously process made in printed paper can be exchanged between the interested in an agile and practical way. However, it is necessary to verify the archivist’s prerequisites to be achieved so that the used documents in the processes have authenticity and do not compromise the processes themselves. It was decided to develop the functionalities of a SIGAD in the existent institutional management system.. At the Federal University of Santa Maria, the process of discipline dispensation of graduation it was chosen by the central administration to be computerized. The process allows the students of the institution to use disciplines previously studied in the equivalence of certain disciplines of their current course. After the informatization of the process, it was possible to observe afinancial saving related to the printing expenses of the documents, as well as the reduction of the involvement of the institution’s employees in the signing documents, physical exchange of processes and their subsequent archiving.
